How it works

One Kerala booking, followed all the way through.

This is the workflow we are building, step by step, with the AI doing the parts your team currently does by hand. Each step shows its build status — the selling half is in active build, operations and invoicing follow.

01In build

The enquiry arrives

A WhatsApp message at 9pm: “Kerala for 6 nights in November, honeymoon, budget around 1.5 lakh for two.” Today someone re-types that into a spreadsheet tomorrow morning, if they remember.

What the AI does

AI reads the message and creates the enquiry — destination, nights, month, pax, occasion, budget band, source. It drafts an acknowledgement in your desk’s usual tone for your executive to send.

What you end up with

  • Enquiry card created with owner and follow-up date
  • Client matched to an existing record if they have travelled with you before
  • First reply drafted, ready to send
02In build

The homework gets done

Normally: an afternoon across ten browser tabs working out routing, drive times, what is open in November and whether the houseboat is worth it.

What the AI does

AI returns a researched brief — weather and crowds for that week, festivals and closures, realistic road times between stops, permits worth flagging, and which of your contracted hotels cover the route.

What you end up with

  • Destination brief with sources you can check
  • Suggested routing with drive times
  • Gaps flagged where you hold no contracted rate
03In build

The itinerary builds itself

You review the plan rather than assemble it. Drag a day, swap a hotel, drop Kovalam, add a night in Alleppey — the rest reflows around your change.

What the AI does

AI drafts the full day-by-day plan from your own hotels, vehicles and past trips, then sanity-checks it against check-in windows, monument closing days and sensible driving hours.

What you end up with

  • Day-by-day itinerary using your inventory
  • Silver, Gold and Platinum variants of the same trip
  • Feasibility warnings before the client ever sees it
04In build

Costing, with the margin visible

You see cost, markup and margin on the same screen as the itinerary. Change a hotel and the number moves while you watch.

What the AI does

AI suggests markup from what your agency actually converted at for this destination and season, warns when the quote drifts under your margin floor, and points out services the itinerary implies but the costing is missing.

What you end up with

  • Per-pax and per-group costing across slabs
  • Multi-currency with your own forex rate and buffer
  • A margin warning before the quote goes out, not after the trip
05In build

The proposal writes itself

You read it once, adjust a line, and send. It goes to WhatsApp as a link, because that is where the client will reply.

What the AI does

AI writes the day descriptions, inclusions, exclusions and cover note in your house voice — and produces the same document in the client’s language when the enquiry is from abroad.

What you end up with

  • Branded web proposal plus matching PDF
  • Client picks an option and accepts online
  • You see when it was opened, and by whom

Confirm and operate

Booking requests go out to hotels, transport and guides. Your ops desk watches one screen instead of an inbox.

What the AI does

AI reads confirmation emails back in and ticks off the matching service, drafts chase mails for whatever is still open, and briefs the desk each morning on today’s arrivals, movements and gaps.

What you end up with

  • Vouchers, duty sheets and movement charts generated from the itinerary
  • Confirmation status tracked per service
  • Gaps escalated before they reach the traveller

Invoice, collect, learn

The invoice comes out of the same booking record the trip was built from, so the numbers match what you actually sold.

What the AI does

AI applies the right GST treatment and place of supply for the booking type, flags where TCS applies on an overseas package, and drafts the payment reminders that go out on schedule.

What you end up with

  • GST invoice with TCS where applicable
  • Advance and balance schedule with automatic reminders
  • Realised margin fed back so the next quote is priced better
The point of all this

The same booking, without seven handoffs.

Nothing above involves re-typing data that already exists somewhere in your business. That is the whole design goal.
